School ERP software for West Bengal schools

Academica ERP is school ERP software built in Bardhaman, West Bengal, and used by schools in the state since 2013. It runs admissions, UPI fee collection, attendance, WBBSE and WBCHSE report cards and a parent app in Bengali or English. Plans start from ₹10 per student per month. Techimpace trains staff on site across West Bengal.

Academica ERP is school management software made in West Bengal, for Madhyamik and Higher Secondary schools as well as CBSE and ICSE schools in the state. One system holds the student record, the fee account, attendance, exams and the parent app. It is built and supported by Techimpace from Bardhaman, so the people who configure your school are a drive or a train ride away, not a ticket queue in another city.

Board patterns

WBBSE, WBCHSE, CBSE and ICSE in one system

A school in the state often runs Bengali- and English-medium sections side by side, and a Higher Secondary school adds streams on top. Each pattern gets its own exam setup on the same student record.

  • Madhyamik level

    WBBSE schools

Classes up to 10 are set up from the marksheet you use now: subjects, full and pass marks, grades and term exams. Report cards print in your layout.

  • Higher Secondary

    WBCHSE schools

Classes 11 and 12 by stream and by semester, with science, commerce and arts combinations, elective languages, and theory and practical marks kept apart.

  • Central boards

    CBSE and ICSE schools

Affiliated schools in the state get their own grading pattern and report card on the same platform, so one office can run both.

  • Question papers in Bengali

Papers can be set in Bengali, English or Hindi, with maths notation. The print template is tested with your fonts before rollout.

  • UDISE+ and RTE from live records

UDISE+ data and RTE returns come from the student records the office already keeps, not a spreadsheet rebuilt every year.

  • Checked before go-live

Send last year's marksheet and subject list. We configure them in a trial account and show you the printed result before any marks are entered.

For parents

A parent app that works in Bengali

Most parents read school notices on a phone, and many would rather read them in Bengali. The Academica parent app works in Bengali, English, Hindi and Assamese.

  • Fees by UPI

Parents pay from the app at any hour and get a receipt at once. The payment lands on the right student's account without the office matching bank entries.

  • Absence alerts

A message reaches the parent when a child is marked absent, whether attendance is taken in class or at a face-attendance gate.

  • Notices and circulars

Holiday lists, exam routines and circulars arrive in the app, in place of paper slips and forwarded WhatsApp messages.

  • Results online

Report cards and marks are on the phone the day the school publishes them, with earlier terms kept for comparison.

  • One login for siblings

A family with two or three children in the school sees all of them, and pays all their fees, from one account.

  • Transport details

The child's bus route and pick-up point sit next to fees and attendance, so parents stop phoning the office to ask.

Before you choose

Eight questions a West Bengal school should ask any ERP vendor

Lists of the 'best school ERP' are mostly written by the vendors on them. These questions separate a good demo from a system your office can live with.

  • Will it print our WBBSE or WBCHSE marksheet in the layout we use now, and can we see it before we sign?
  • Is the parent app available in Bengali, or only in English?
  • Can our Bengali-medium and English-medium sections run in the same school account?
  • Who trains our staff on the campus, and how far away are they based?
  • What does each UPI fee payment cost the school, and who pays the gateway charge?
  • Can UDISE+ data come straight from the live student records?
  • Where is student data stored, and how does the vendor handle it under the DPDP Act, 2023?
  • If we leave, can we export every student and fee record in a usable format?

On UPI: since 15 October 2026, merchant UPI payments above ₹2,000 can carry a charge, and school fees sit in a concessional category with a flat or capped rate (Ministry of Finance FAQ, 15 September 2026). Payments up to ₹2,000 stay free. We answer all eight in writing, and the school ERP buyer's guide explains what a good answer to each looks like.

Getting started

How a school anywhere in West Bengal gets started

Most of the work happens before your staff see the system, so the first fee day is uneventful.

    Online demo

We show Academica on a video call with a sample school set up on your board's pattern, then visit if you want to see it in person.

  2. Your marksheet and fee heads

You send last year's marksheet, the subject list and the fee structure. We set them up in a trial account for your office to try.

Student strength, modules, training days, the implementation charge and the monthly figure, all on paper before you commit.

  4. Records move in

  5. Training on the campus

Our team travels to the school and trains the office, teachers and management in Bengali, Hindi or English.

  6. About four weeks for one campus

    Go-live and support

Fees are collected in Academica from an agreed date. Support afterwards is by phone and WhatsApp from Bardhaman, in Bengali.

FAQ

School ERP in West Bengal: common questions

Which is the best school ERP software in West Bengal?

The best fit is the system that prints your board's marksheet without workarounds, gives parents an app they will actually open, and has people close enough to train your staff on the campus. Ask any vendor for a school in the state that has used its software for five years. Academica ERP has run at St. Francis de Sales School, Galsi since 2013, and the team that builds it works in Bardhaman.

Does Academica ERP support WBBSE and WBCHSE schools?

Yes. Madhyamik-level classes under WBBSE and Higher Secondary streams under WBCHSE are configured from the school's current marksheet, subject list and pass rules, and the printed report card is shown to the school before the first exam is entered. CBSE and ICSE sections can run alongside them on the same student record.

Is the Academica parent app available in Bengali?

Yes. The parent app works in Bengali, English, Hindi and Assamese. Parents use it to pay fees by UPI, see attendance and results and read notices, and one login covers brothers and sisters in the same school.

How much does school ERP software cost in West Bengal?

Academica ERP starts from ₹10 per student per month for eligible configurations, so a school of 500 students starts at ₹5,000 a month, or ₹60,000 a year, plus GST. A one-time implementation charge applies in the first year, and SMS, WhatsApp and hardware are billed separately where they are used.

Do you install and train at schools in Kolkata and North Bengal?

Yes. Schools in Siliguri and Dhupguri already run Academica with support from our Bardhaman office. The first demo can be online; training and go-live happen on the campus, and the travel is written into the proposal before you sign.

Where is our students' data kept?

Academica is hosted in India. Access is by role, so a teacher sees their own classes and a parent sees only their own children. The agreement sets out how student data is handled under the Digital Personal Data Protection Act, 2023, and how the school takes its records with it if it ever leaves.

Does Academica replace the Banglar Shiksha portal?

No. Banglar Shiksha is the Government of West Bengal's school education portal, and schools keep using it as the department requires. Academica runs the school's own work alongside it: admissions, the fee account, attendance, exams, report cards and messages to parents.

When should a West Bengal school start the switch?

Two to three months before admissions open for the new session. One campus takes about four weeks once the marksheet, fee heads and student lists are with us, and starting early means fee balances are moved while they are not changing every day.
