AI automation for Indian businesses

AI automation is software that does repeat office work with an AI step inside it: reading an invoice, sorting an email, drafting a WhatsApp reply. For Indian businesses the common uses are lead follow-up, payment reminders, invoice entry and daily reports. Tools such as n8n, Zapier and Make cost from nothing to a few thousand rupees a month.

Techimpace builds and runs these workflows from Bardhaman, West Bengal, for businesses across India. Below are the twelve jobs we are asked to automate most, what each tool costs, where AI automation goes wrong, and how to start with one workflow instead of a big project.

  • n8n · Zapier · Make · custom code
  • WhatsApp, Tally and UPI
  • English, Hindi and Bengali

Use cases

Twelve AI automation use cases for Indian businesses

Each one replaces a task someone does by hand every day. The AI step handles the part rules cannot: reading a document, understanding a message, or writing a first draft.

  • Shops and D2C brands

    WhatsApp order and lead replies

The AI reads the customer's message, answers price and stock questions from your catalogue, and hands the chat to staff when it is unsure.

  • Accounts

    Purchase invoices into Tally

Supplier PDFs and phone photos are read, GSTIN and totals checked, and entries prepared for the accountant to approve instead of retype.

  • Collections

Payment reminders that stop when paid

Reminders go out on WhatsApp and email on a schedule, and stop by themselves when the payment shows up in Razorpay or the bank feed.

  • Sales

    Every lead into one list

Website, IndiaMART and Meta lead forms land in one sheet or CRM within a minute, with a follow-up task for the right salesperson.

  • Owners and managers

    The morning MIS on WhatsApp

Yesterday's sales, collections and stock, pulled from Tally, sheets or the ERP and summarised in plain words before the shop opens.

  • Support

    Email and ticket sorting

Incoming mail is classified and routed, and routine replies are drafted for a person to check and send.

  • Hiring

    Applications sorted for review

CVs are read against the role and grouped, and interview slots offered by message. A person still makes the shortlist.

  • E-commerce

    Courier and COD reconciliation

Courier status, cash-on-delivery remittances and marketplace payouts are matched to orders, and the mismatches listed.

  • Field teams

    Site reports from WhatsApp

Photos, notes and locations sent by staff on site are collected into one dated log the office can search.

  • Schools

    Fee dues and absence messages

Parents hear about dues and absences without the office phoning each one. Academica ERP does this inside the school system.

    Academica ERP
  • Hospitals

    Shift gaps flagged before handover

Rosters and attendance are compared as the shift starts, so a gap on the ward is visible before it becomes a problem.

    MedHR
  • Contractors

    Work orders read from PDFs

Work orders and LOIs arriving as PDFs are read into the job record instead of being typed in. Docket ERP does this for electrical contractors.

n8n, Zapier, Make and WhatsApp: what each costs

The tool decides the running cost, not the build cost. We pick it by volume, by where your data must live, and by who will look after it.

WhatsApp rates are Meta's India rate card effective 1 October 2026; providers add a plan on top, for example Interakt from ₹11,999 a year or WATI from ₹2,199 a month billed annually. Prices change often, so check them before you decide.

Cost

What AI automation costs an Indian business

There are two bills. The first is the build: mapping the process, connecting your apps, writing the AI instructions and the checks around them, and testing on your real data. We quote it as a fixed price per workflow after a free audit, because a WhatsApp reminder flow and a back-office pipeline across four systems are very different jobs.

The second is the running cost: the tool's plan (nothing for self-hosted n8n beyond the server), the AI model's charge per use, which is small for routine reading and drafting, and message charges if WhatsApp is involved. A distributor sending 3,000 payment reminders a month as utility messages pays Meta about ₹345 (3,000 × ₹0.115), plus the provider's plan.

The test is simple: if a workflow saves fewer hours than it costs, do not build it. We say so at the audit. See how we build and support automation.

Getting started

How to start with AI automation without a big project

One workflow, measured, before the next. Most businesses that try to automate everything at once stop halfway.

  1. One week

    List the repeat work

Note every task someone does more than ten times a week: copying, chasing, checking, summarising.

  2. Pick one with a number on it

Hours lost, payments late, leads missed. A workflow you cannot measure is hard to justify later.

  3. Free

    Free audit

We map the steps with you and say whether it needs AI at all, which tool fits, and what it will cost to build and run.

  4. 2–4 weeks for most workflows

Build and test on real data

The workflow runs alongside the manual process until the two agree.

  5. A person in the loop

For the first weeks the AI drafts and a person approves. Steps that move money or make promises keep that approval for good.

  6. Measure, then choose the next one

Hours saved and errors avoided, checked after a month. The next workflow is chosen on the same numbers.

Risks

Where AI automation goes wrong, and how to avoid it

Most failures are not the AI being wrong. They are the process around it being left unguarded.

  • Letting AI send payments, refunds or legal replies without a person approving them
  • Automating a process nobody has written down, so the automation copies the confusion
  • Putting customer data into tools without checking where it is stored and processed (DPDP Act, 2023)
  • Per-task pricing that grows faster than the business: price the tool at ten times today's volume
  • No failure alerts, so an automation that stops quietly goes unnoticed for weeks
  • Every connection signed in with one employee's personal account

We build around all six: approvals, logs, alerts and company-owned accounts are part of every workflow we hand over.

FAQ

AI automation: common questions

What is AI automation?

AI automation is software that carries out a repeated task end to end and uses an AI model for the steps fixed rules cannot handle, such as reading a scanned invoice, understanding a customer's message or drafting a reply. The rest of the workflow, moving data between apps, sending messages and updating records, runs on ordinary automation.

What is the difference between AI automation and business process automation?

Business process automation follows fixed rules: when a form is submitted, create a record and send an email. AI automation adds a step that copes with messy input, like a PDF in an unknown layout or a question typed in Hinglish. Most useful systems combine both, with the AI step kept small and checked.

Is n8n better than Zapier for an Indian business?

It depends on volume and data. Zapier is quickest to set up and has the most app connections, but per-task pricing grows with volume. n8n's Community Edition is free to self-host, which suits high volume or data that must stay on your own server, but someone has to run and update that server. Make sits between them on price.

How much does AI automation cost in India?

The build is a one-time fixed price per workflow, set after an audit. Running costs are the tool's plan, from free for self-hosted n8n to $19.99 a month for Zapier Professional billed annually, plus AI usage and any WhatsApp messages, which Meta prices at ₹0.115 for a utility message and about ₹0.86 for a marketing message in India.

Can AI automation work in Hindi and Bengali?

Yes. Current AI models read and write Hindi, Bengali and mixed Hinglish well enough for customer replies, summaries and document reading. We test each workflow on real messages in the languages your customers use before it goes live, and keep a person reviewing anything sent in your name at first.

Do we need to replace our software to automate?

No. Automation connects to what you already use: Tally, Google Sheets, a CRM, WhatsApp, Razorpay, an ERP or plain email. If a system has an API, or even sends reports by email, a workflow can usually be built around it.

Who owns the automations once they are built?

You do. Tool accounts are opened in your company's name, the workflows and prompts are documented, and access is handed over at the end. We can monitor and maintain them on a monthly plan, but nothing depends on us to keep running.

A free audit tells you whether it needs AI at all, which tool fits, and what it costs to build and to run.
