Best school ERP software in India: an honest 2026 comparison

Most articles titled 'best school ERP software in India' are written by a vendor that puts itself first. This one is written by a vendor too: Techimpace makes Academica ERP. So it does three things differently. It lists only what each company publishes about itself, with the source. It says where our own product is not the best fit. And it gives you the questions that separate a good demo from software your office can live with.

How this comparison was made

• Every fact about another vendor comes from that vendor's own website, read on 19 October 2026. The links are in the Sources list at the end.
• Scale figures such as 'schools served' are each company's own claim. We have not verified them and have not tested other vendors' software.
• Where a company does not publish a price, the table says so. That is common, and it is not a criticism.

What is school ERP software?

School ERP software is a system that holds a school's administration in one place: admissions, student records, fee collection, attendance, timetables, exams and report cards, transport, payroll and communication with parents. Office staff, teachers and parents each reach the same record through their own login, in place of registers, spreadsheets and WhatsApp groups.

A few details from the same pages are worth knowing. Fedena began as open-source software released under the Apache 2.0 licence, and a free community edition still exists alongside the paid hosted plans. Teachmint's homepage now leads with classroom hardware, so confirm which ERP modules are current before you shortlist it. Schoollog states 800+ report-card formats and offers a 15-day trial. Zoho has no dedicated school ERP; its school management offering is an app template on Zoho Creator that a school or partner adapts.

Which kind of product fits which school

Where Academica ERP fits, and where it does not

Academica ERP has run at St. Francis de Sales School in Galsi, West Bengal, since 2013 and is live in more than 40 schools, colleges and coaching centres, mostly in West Bengal, Assam and the North East. It handles CBSE, ICSE, West Bengal (WBBSE and WBCHSE) and Assam board patterns, has a parent app in Bengali, English, Hindi and Assamese, and is trained on site by the team that builds it. Its published starting price is ₹10 per student per month.

• A good fit: state-board and CBSE or ICSE schools in eastern and north-eastern India that want on-site training, a Bengali or Assamese parent app, and a price that scales with student numbers.
• Not the best fit: a school that wants free, open-source software it runs itself; a school far from eastern India that expects frequent visits; or a school looking mainly for classroom hardware or a learning platform rather than administration.

How much does school ERP software cost?

Published prices fall into two patterns. Some vendors charge a flat yearly plan: Fedena lists ₹50,000 to ₹1,00,000 a year and EduGradUP ₹9,000 to ₹23,000 a year by school size. Others charge per student: Academica starts from ₹10 per student per month, which is ₹60,000 a year for 500 students. Many vendors quote only after a call. In every case, ask what implementation, data migration, training, SMS and WhatsApp messages cost on top, because those are usually separate.

UPI fee collection now has a cost above ₹2,000

From 15 October 2026, merchant UPI payments above ₹2,000 can carry a merchant discount rate. The Ministry of Finance's FAQ of 15 September 2026 puts school fees in a concessional category with a flat or capped rate above ₹2,000, and keeps payments up to ₹2,000 free. The charge falls on the school, not the parent. Ask any ERP vendor which payment gateway it uses, what that gateway charges on top, and whether fees can be split into instalments.

Student data, UDISE+ and the DPDP Act

• UDISE+, the Ministry of Education's school data system, has collected records for each individual student since 2022–23. An ERP that holds the same records can save the office from compiling them twice.
• The Digital Personal Data Protection Act, 2023, with Rules notified in November 2025, makes the school responsible for how children's data is collected and used, including verifiable parental consent, with some exemptions for education. Ask the vendor where data is stored, who can see it, and how it supports these duties.
• Whatever you choose, make sure you can export every student and fee record in a usable format if you ever leave.

Questions to ask before you buy

• Will it print our board's report card in the layout we use now, and can we see it before we sign?
• Which school of our size has used it for five years or more, and can we speak to them?
• Is there a parent app in the languages our families read, and a teacher app?
• What is the price per year for our student strength, and what is charged on top?
• Who moves our data from registers or the old software, and who checks it?
• Who trains our staff, on the campus or only by video call, and who answers during fee week?
• Can it work with the biometric or face-attendance devices we already own?
