A biometric device can tell you when someone checked in. It cannot, by itself, explain whether that person was covering an approved night shift, moving between departments or correcting a missed checkout. Healthcare attendance automation succeeds when those operational details travel with the attendance record.

The trend is toward connected workforce workflows

Microsoft's current Shifts documentation brings schedules, time-off requests, clock-in records and workforce-system integration into one workflow. Define the attendance-to-payroll workflow

Also test a worker assigned to another department for part of the day. Decide whether the organisation needs only a duty record or a cost-centre allocation as well. Capturing extra information has value only when someone uses it in an approved operational report.

Choose attendance capture around working conditions

  • Run a trial in the actual entrance area, including peak shift-change queues.
  • Test the chosen device with staff wearing the equipment they normally use.
  • Confirm how failed recognition, lost cards and unavailable phones are handled.
  • Demonstrate behaviour during a network interruption and after reconnection.
  • Review who can enrol staff, change identities and export attendance data.

Facial recognition and geofencing can help capture events, but neither removes the need for review. Hardware performance, mobile permissions and connectivity vary. Require a practical acceptance test rather than treating recognition speed or location accuracy as a universal guarantee.

Make corrections visible and timely

A missed punch should create a request containing the original record, the proposed correction and a reason. Route it to the responsible supervisor and retain the approval history. Set a cutoff before payroll and a defined process for changes discovered after the period closes.

Track unresolved exceptions by age and department. A useful daily report shows what needs attention, not just how many punches arrived. During the pilot, compare the approved timesheet with the existing process to find policy differences before those differences affect pay.
